The Position
As the Donor Relations & Gifts Officer, you will take the lead in managing all aspects of gift processing, accurate gift coding, and donor tax receipts, ensuring seamless communication between the Philanthropy and Finance teams. While supporting stewardship activities aligned to the Stewardship Matrix, you will also play a supporting role in donor events, working closely with the Donor Relations & Events Officer. This position focuses on ensuring the accuracy of donor data and maintaining donor records while delivering key projects like annual tax receipts, donor communications and the Gifts of Hope holiday campaign.
What success looks like?
- Lead on gift processing and ensure accurate gift coding, acting as the primary liaison with the Finance team.
- Manage and coordinate donor stewardship activities in line with the Stewardship Matrix, ensuring that processes are well-defined and adhered to, while providing support to fundraisers in completing CRM-based stewardship plans.
- Manage donor tax receipts, ensuring timely and accurate delivery.
- Contribute to the organization and accuracy of donor records and documentation.
- Deliver key stewardship projects such as Annual Holiday Cards, Income Tax Receipts, Gifts of Hope and quarterly philanthropy communications to ensure ongoing donor engagement.
- Support the planning and execution of donor events, contributing to overall stewardship initiatives.
- Collaborate with internal teams to ensure smooth coordination of donor materials, including thank you letters, gift agreements, and stewardship reports.
- Support project planning and execution across systems and innovation projects and define and document process mapping and standard operating procedures.
- Assist in preparing donor communication materials for philanthropy campaigns and stewardship initiatives, ensuring consistency and alignment with Plan International Canada’s values.
As our ideal candidate you will have:
- 1–3 years of experience in gift processing, gift coding, and coordination with finance teams within a non-profit fundraising environment.
- 1–3 years of experience in non-profit operations or a related administrative support role.
- Experience using Salesforce or a comparable non-profit CRM system for donor data management and reporting is considered a strong asset.
- A passion for delivering an exceptional donor experience, ensuring all touchpoints align with Plan International Canada’s mission and values.
- Strong written communication skills, especially related to donor communications and stewardship materials.
- Strong attention to detail, ensuring accuracy in donor data, gift records, and financial reporting.
- Excellent organizational skills with the ability to efficiently manage multiple projects and shifting priorities while maintaining accurate donor records & documentation.
- Ability to collaborate professionally and effectively across departments, particularly with Finance, Mass Marketing, Philanthropy and Content teams.
- Project management experience is considered an asset

The salary range for this position is anticipated to be between $ 50,000 and $ 62,000. We comprehensively evaluate a variety of factors to determine fair compensation, including experience, specific job-related skills, and relevant educational or professional training.
